Getting started

Create your organisation, add the people who will use reCore, and set up your benches. Do this once, before the first device. It takes about 15 minutes.

In short

The short version

  1. 1Sign up and choose your Organization code. Click the link in the email, then sign in.
  2. 2Fill in your company details in Settings. They appear on reports and certificates.
  3. 3In Technicians, add each person by email with a role. They choose their own password and station PIN.
  4. 4In Authorized Clients, add one bench for each work position.
  5. 5Optional: add your sites in Facilities and give each bench its site.
  6. 6Then set up a station.

1. Create your organisation

An organisation is your company's own space in reCore. Your devices, people, benches and reports all live inside it, and nobody outside it can see them.

  1. 1Go to the sign-up page.
  2. 2Enter your Company name. It is shown on reports and wipe certificates.
  3. 3Check the Organization code. reCore suggests one from your company name. It is a short ID, 3 to 20 letters and numbers, like ACMEDX.
  4. 4Enter your name, a username, your work email and a password. Phone and address are optional.
  5. 5Click Create organization.
  6. 6Open the email from reCore and click the verification link. The link works for 24 hours.
  7. 7Go to Sign in and sign in with your organisation code, username and password.

Pick the organisation code carefully

Everyone in your team types it when they sign in, on the web and when they set up a station. It can't be changed after sign-up.

If reCore thinks your company may already have an organisation, it tells you before creating a second one. Ask your colleagues first: they can add you to the existing one.

No email? Check your spam folder, or ask for a new link from the sign-in page.

2. You are the first admin

The person who signs up becomes the organisation's first Admin. Admins see an extra Administration section in the dashboard menu, where you add people and benches.

Before you invite anyone, fill in your company details:

  1. 1Click your name at the bottom left of the dashboard and choose Settings (or open Settings).
  2. 2In Organization and branding, check your company name, contact details and report branding. These appear on your reports and certificates.

Your organisation code is shown there too, as Tenant Code, with a button to copy it for your team.

3. Add your team
Everyone gets their own account.

Give every person their own account, even if they share a bench. reCore records who tested, wiped and graded each device, so shared accounts make that record useless.

RoleWhat they can doSigns in at a station
TechnicianWorks at the bench: tests, wipes and grades devices. Can use the dashboard, without the Administration section.Yes, with username and PIN
AdminEverything a technician can, plus people, benches, sites, billing and approving wipes in Wipe Verification.Yes, if they choose a PIN
ViewerLooks at devices and reports in the dashboard. Can't change anything. No
  1. 1Open Technicians (under Administration).
  2. 2Click Add Technician.
  3. 3Enter their Email and Full Name. Leave Username empty and reCore makes one from the name: Sam Lee becomes sam.lee.
  4. 4Pick the Role and click Add User.
  5. 5reCore shows the username and emails the person a link. They open it and choose their own password and, for a technician, their station PIN.

You never set anyone's password or PIN

Only the person knows them. Until they use the emailed link, they can't sign in anywhere. The link works for 24 hours. If it runs out, or someone forgets their password, open the ⋯ menu on their row and click Send Setup Link.

When someone leaves, open the same menu:

  • Deactivate blocks their sign-in but keeps the account. Activate lets them back in.
  • Remove deactivates the account, ends their PIN and hides them from the list. Their past work stays on record.

Changing someone's role signs them out everywhere. Making someone a Viewer also ends their station PIN.

4. Station PINs
How technicians sign in at the bench.

At a station, technicians don't type a password. They sign in with their Username and a 4-digit PIN. One PIN works at every bench in your organisation.

  • Technicians choose their PIN when they first open the emailed link. It is required.
  • Admins can add a PIN the same way, or later in Settings under Client Operator PIN.
  • Viewers have no PIN and can't sign in at a station.

Choose exactly 4 digits

The setup page accepts up to 6 digits, but the station sign-in screen takes 4. A longer PIN can't be typed in at the bench. Avoid easy PINs: reCore refuses one digit repeated (1111) and straight runs (1234, 9876).

Anyone with a PIN can change it themselves in Settings, under Client Operator PIN: Change Custom PIN, or Generate Random PIN for a random 4-digit one. Both ask for their password.

Forgotten PIN? An admin can't see it or set it. In Technicians, click Send Setup Link on that person, and they choose a new one. To stop a PIN working straight away, for example if someone saw it, click Revoke PIN on their row.

5. Add benches
One for each work position.

A bench is a place where devices get processed: a desk, a rack position, a test station. It is not a computer. Whatever runs reCore there joins the bench: a bench PC, a reCore USB stick, or the laptop being tested. If a stick moves to another laptop at the same bench, the bench and its settings stay the same.

  1. 1Open Authorized Clients (under Administration).
  2. 2Click Add bench.
  3. 3Give it a Name of 2 to 20 letters, digits or dashes, like BENCH2, and click Add bench.

Then, at the bench, a technician sets up the station and picks this bench from the list. Set up a station shows how. Any technician can join a computer to a bench; an admin can also create a new bench straight from the station.

Each bench on the page has small pencil buttons to set:

  • Facility: which site it is at (see the next step).
  • Default workflow: which steps devices go through at this bench. See Workflows.
  • Its name, if you want a clearer one.

A USB stick got lost

Find its bench, click Computers, and click End next to that stick. It can no longer sign in to that bench, and the rest of the bench keeps working.

Revoke on the bench itself blocks the whole bench and every computer joined to it. If you reactivate it later, each computer has to join again.

A computer that hasn't been used for 30 days drops off its bench by itself, and joins again the next time it is set up.

6. Sites (Facilities)
Optional. Useful with more than one building.

A facility is a site you work at. When a bench has a facility, every session and wipe done there records the site, so you can show where work happened.

  1. 1Open Facilities and click Add Facility.
  2. 2Enter a Name and the address, then click Create Facility.
  3. 3In Authorized Clients, click the pencil next to No facility on each bench and pick the site.

A facility that already appears on a session or wipe can't be deleted, because it is part of the record of where that work was done.

Put your logo on certificates and reports
Optional. Admins only.

Your certificates and reports can carry your own logo and colour instead of reCore's. Only admins can change this; everyone else sees it as View only.

  1. 1Open Settings and go to Organization and branding, then Your branding on reports and certificates.
  2. 2Under Organization Logo, click Upload Image. Use a PNG, JPEG, WebP, GIF or BMP file of up to 10 MB. SVG is not accepted. A wide logo works best: it is shrunk to fit 400 by 120 pixels. The upload is saved straight away.
  3. 3Under Primary Brand Header Color, click one of the colour dots or type a colour code such as #1F4E79.
  4. 4Optional: add your own text under Report & Certificate Custom Disclaimer / Footer.
  5. 5Click Save Organization & Branding.
DocumentWhat changes
Data destruction certificate (PDF)Your logo at the top left in place of the reCore mark. Your colour on the word Certificate and on the verification status banner. Your disclaimer in the footer.
Excel reports: batch report, device report, wipe records report, stock list, shipping listYour logo at the top. Your colour on the title and the column headers. Your disclaimer with your contact details.
Printable report (a device's Documents menu)Your logo and organisation name in the header, with a stripe in your colour.
  • Upload the logo, don't paste a web address. A logo given as a link shows in the dashboard and on the printable report, but certificates and Excel reports only use an uploaded image.
  • Certificates keep what they were issued with. A new logo or colour applies to certificates issued from then on. Reports made after the change use the new one.
  • The one-page Device report stays plain, without a logo or colour.

Finding your way around

The dashboard menu follows a device through your process, top to bottom. To jump to one device, type its serial number in Find device by serial... at the top of any page.

Your plan

Admins see the organisation's plan and usage in Billing, under Administration. A badge next to the reCore logo at the top left shows your account status, for example Trial. If something needs your attention, a banner at the top of every page says what, with a View Details link for admins.

Next step

Your organisation, team and benches are ready. Now write a reCore OS USB stick and boot your first machine: Set up a station.
